Upload utility documents

This page helps Utility Manager users add source utility PDFs to Parsepoint so the documents can be processed, assigned to facilities, and reviewed. Use it when you have electricity, natural gas, or water bills ready for automated extraction.

Before you start

  • You need Utility Manager access for the active organization.
  • You need PDF utility documents. Automatic parsing currently supports electricity, natural gas, and water bills.
  • If uploading from a facility workspace, select the facility first or choose it in the upload dialog when prompted.

Mobile Fuel Use, Purchased Gases, Refrigerants, and Waste are managed through manual entry or bulk import in Utility Data, not automated PDF parsing.

Open Utility Bills

Open Facility Manager and select Utility Bills. In a facility workspace, open the Utilities area and select Utility Documents.

Start upload

Select Upload Utility Documents. Drag utility PDFs into the dropzone or select Choose PDF files.

Choose a facility when known

If you know the facility, select it before submitting. If you do not know it, Parsepoint can attempt to match the facility by service address after extraction.

Watch status

Return to the Utility Bills table and watch the Parsing Status column move through upload, queue, extraction, and review-ready states.

What happens next

Ready documents appear in Utility Bills with file name, uploaded date, usage period, activity type, component count, facility, and parsing status. Select Review when the document has extracted bill data.

If you do not see this option

The company-level Utility Bills page may be review-only for your organization. Upload controls can also be hidden when the folder is not ready, the selected facility is missing, or your role cannot upload.

Troubleshooting

  • Only PDF files can be uploaded here: convert the source to PDF or use manual entry where appropriate.
  • Folder is not ready for uploads yet: wait a moment and refresh the page.
  • Failed to upload files: retry with fewer files and confirm each file is a valid PDF.
  • Review unavailable: wait for parsing to finish or use Reprocess if the document failed.
